The University Archives Office holds periodic instructional meetings on thesis and dissertation filing They also provide the necessary forms and an instruction booklet on the regulations governing manuscript preparation and completion of degree, and answer any questions you might have regarding the process.
- Email the CMP Student Affairs Coordinator a timeline of when you would like to schedule your final oral examination, so that she can coordinate a date and time with your Doctoral Committee. She will also schedule an appropriate room and publicize the event, once you have given her the title of your defense seminar.
- The final oral exam is an open seminar, and we will post a notice and email notification to faculty and continuing students. Extra copies of the announcement will be given to you to distribute and post elsewhere if you so choose.
- A Final Oral Examination form will be given to your Committee Chair before your seminar. The form must be signed by each member of your Doctoral Committee upon satisfactory completion of your oral examination.
- After your oral exam, the signed original form should be returned to the Pathology Graduate Student Affairs Office (A7-046 CHS) for completion. It will then be taken (or mailed) to the Student and Academic Affairs Office, Murphy Hall 1255, for filing.
- Once that office has processed your Final Oral Examination form (it usually takes a couple of days, but can be processed immediately if absolutely necessary), you may submit to them the necessary filing forms and then take your thesis to the University Archivist to be checked and recorded.
- IMPORTANT STEP!! It is extremely important that you indicate through URSA your “notification of Non-attendance” for the quarter that follows your filing date. This informs the Registrar’s Office and the Student Support Office that you will no longer be registered or
enrolled. Failure to do this will result in Your being assessed fees for the following quarter, and could escalate into multiple late fees and ultimately collection agency involvement.
- You will need to give the Pathology Graduate Office a photocopy of the filed, final version of your dissertation, including a copy of the signature page.
- Complete a "Final Information Sheet" (see Forms), which asks for postdoctoral information. THIS FORM MUST BE SUBMITTED TO THE CMP GRAD OFFICE UPON COMPLETION OF YOUR PHD.
